			<content:encoded><![CDATA[<p>I was asked about using a pivot table to consolidate the data in several worksheets this week. It is years since I did that. I remember doing it frequently in Excel 2003 but I cannot remember doing it with Excel 2007 and certainly haven&#8217;t done it in Excel 2010 and Excel for mac 2011.</p>
<p>What&#8217;s the point of telling you that? Well, I tried a quick solution in Excel 2007 yesterday afternoon and it didn&#8217;t work. I said, I really don&#8217;t remember the steps but it seems to me that things have changed. They have.</p>
<p>Thanks to http://www.contextures.com/xlPivot08.html for starting me off again although this page seems to be using Excel 2003.</p>
<p>The technique is as follows:</p>
<p>In Excel 2007, press+D, then press P and the Pivot Table and Pivot Chart Wizard opens that includes the option to analyse Multiple Consolidation Ranges, so select that.</p>
<p>The rest of the process is fairly self explanatory EXCEPT that it seems to be very keen for you to select page fields &#8230; the chances are you don&#8217;t want these at all so say no and no as appropriate.</p>
<p>As I said, the page I referred to above seems to show what happens in Excel 2003 so here are the Excel 2007 updated graphics from yours truly:</p>
<p>I created three worksheets and to keep things really simple, all three were exactly the same as each other: you want the same layout in reality but different values!</p>

<p>This is the problem then the solution. Imagine you have a template of 100 columns and 200 rows. Colleagues work on the template and are required to submit their work in good order &#8230; some of them do the work but then, because some people always know better that everyone else, they do things they shouldn&#8217;t. HOW TO FIND THE NAUGHTY BITS?</p>
<p>The simple solution is to set up a new sheet and do something like this =Sheet1!A1=Sheet2!A1 &#8230; drag la la la and the answer will be true or false. Erm, but that&#8217;s 200*100 formulas = 20,000 and that&#8217;s just for one sheet submitted.</p>
<p>I came across the hint of a solution on a web site that suggested using the same approach as above but using ARRAY formulas rather than ordinary formulas.</p>
<p>Open the relevant work book that contains the template or original work and the sheet submitted by your colleague and then create or move to a blank work sheet. In this new work sheet select the range of blank cells equivalent to the range of cells you want to test. In the formula bar enter, for example, =Sheet1!A1:Sheet1!M99=Sheet2!A1:Sheet2!M99 and press ++. What you will get is the word TRUE or FALSE in every cell in your array. Clearly, if it says TRUE then your template and your colleague&#8217;s efforts are the same; if FALSE, they have done something naughty!</p>
<p>If you&#8217;re not sure what I mean by an array formula and what on earth this means: ++, search for array formulas in a search engine and look for something simple to read &#8230; you&#8217;ll know it when you see it! Look in Excel&#8217;s help files too, they are getting better these days.</p>

<p>I prepared a data profile that included classifying the data and then using SUM to add up the values.</p>
<p>I prepared another analysis as preparation to draw a histogram and then used SUM to add up the values.</p>
<p>Then  I created a very simple IF statement to check that total 1 =  total 2 &#8230; they didn&#8217;t agree. For some reason, although ALL values have only two decimal places, when added together, total 1 could be expanded to &#8230;247.900883 while total 2 could be expanded to 247.90003.</p>
<p>As a workaround I amended the IF statement:</p>
<p>=IF(INT(A1)=INT(B1),&#8221;Reconciled&#8221;,&#8221;Error&#8221;) &#8230; that worked</p>
<p>and so did this:</p>
<p>=IF(ROUND(A1,3)=ROUND(B1,3),&#8221;Reconciled&#8221;,&#8221;Error&#8221;) but =IF(ROUND(A1,4)=ROUND(B1,4),&#8221;Reconciled&#8221;,&#8221;Error&#8221;) did NOT work, for what is probably an obvious reason!</p>

This file prepares ageing schedules using different techniques: functions and formulae, conditional formatting, pivot table, Excel table.</p>

<p>Once I had started I decided I could prepare a variety of solutions:</p>

<li>using conditional formatting</li>
<li>using a Pivot Table</li>
<li>using Excel Tables</li>
</ul>

<p>In any case, this workbook does two things:</p>
<p>it allows pupils to consider a real ageing schedule albeit with a simplified example and to change the payment boundaries: for example, invoices owing between 1 and 30 days then 31 and 60 days &#8230; you can change it to 1 &#8211; 25 days then 26 &#8211; 50 days &#8230; and any range of days you like. This will help you to explore the credit control strategy and so on. It leads in to cash forecasting and budgeting too.</p>
<p>To determine whether we are dealing with an entry between 1 and 30 days, 31 and 60 days &#8230; =IF(AND(TODAY()-$B14&gt;K$14,TODAY()-$B14&lt;=L$14),$D14,&#8221;") &#8230; this gives the answer in values</p>
<p>to show the same results but in terms of days &#8230;</p>

<p>Showing the status of a debtor&#8217;s balance: overdue or current &#8230;</p>

<p>Similarly, finding Overdue and Current allowing for the payment of an account &#8230;</p>

<p>Then there are the functionalities of Conditional Formatting and Excel Tables</p>
<p>The Pivot table, which I don&#8217;t show in screenshot form above even includes the suppression of zeroes.</p>
<p>An apparently simple problem but with some interesting programming to do.</p>

			<content:encoded><![CDATA[<p>Two Days ago in the House of Commons the Chancellor of the Exchequer stood up and blethered on about how bad it was going to be &#8230; for you and me!</p>
<p>I read the papers and looked at one or two videos from the Financial Times and other places. The FT pointed me at <a href="http://www.ft.com/autumnstatement">www.ft.com/autumnstatement</a> and that contains links to some excellent materials. What I wanted to do was to find some data and see what I could make of it in Excel.</p>
<p>The data came in PDF files and there is a LOT of it. What follows, then, relates to just one table from one file. Firstly the data and then some things that I did to it using Excel:</p>

<p>I used Excel for mac: 2011 for this analysis: for this reason you can see the sparklines. Sparklines, remember, are one cell charts or graphs that can be presented as line sparklines, column sparklines or win/loss sparklines. I used column sparklines above and highlighted negative values.</p>
<p>One of the things I was really looking for was the <strong>hockey stick</strong> effect of economic and financial forecasting: I found it! I think you will understand what the hockey stick effect means when you see the very first of the 11 charts I prepared from the above table:</p>

<p>OK, take a look at this:</p>

<p>I think you&#8217;ve got it now: the hockey stick effect is that when we are creating a forecast, we often say that the immediate future will be worse than today but after a while things are bound to look up and then things will get better and better.</p>
<p>Eight out of the eleven charts I produced from the UK Economy demonstrate the hockey stick effect: plot them all to see what the other three look like!</p>
<p>In addition to charts I programmed a correlation matrix, to take a look at the inter relationships that the UK Government has built into its forecasts. Take a look:</p>

<p>I hope you can read that table: I have used ordinary manual formatting for that and for the matrix itself I have used conditional formatting: greater than, lower than, between.</p>
<p>In terms of correlations, changes in inventories seems to relate to nothing &#8230; why would that be?<br />
Domestic Demand correlates very well with most things &#8230; should this be the case?<br />
Exports of Goods and Services is right in the middle in that it correlates only marginally with most of the other variables &#8230; is this a surprise?</p>
<p>Since I am using Excel for mac 2011 you need to know that it does not have the Data Analysis ToolPak Add-In available to it so I had to programme the correlation matrix cell by cell like this:</p>

<p>In terms of the world economy, here is a chart based on the first part of the table of data shown at the start of this post:</p>

<p>There is not that much evidence of the hockey stick effect here: well, not that we can see. Take a closer look at the sparklines and see what you can see. I am not saying the hockey stick effect is there but it&#8217;s a good idea to take a look at each variable alone rather than just relying on my composite chart!</p>
<p>There you are! I hope you find this whistle stop review of just one or two aspects of the data tables and so on that the UK Government has used to base its economy policies on &#8230; and for the sale of hockey sticks maybe!</p>

<p>My initial reaction was that a Pivot Table would allow me to analyse the 500 rows and 20 columns of information and I did a presentation on my findings. BUT, before I could get to the data and create the Pivot Tables I had to unmerge hundreds of cells: column headings were merged, 20 &#8211; 30 cells were merged in an attempt to convince me that that was the way to group account numbers etc</p>
<p>I demonstrated centre across selection as an alternative for some column merges but some things should just not be merged at all!</p>
